Lead routing software assigns each new lead, contact or meeting request to the right seller automatically, and the best choice depends mostly on your CRM. HubSpot Professional already rotates leads without another tool. Salesforce teams with complex territories usually look at LeanData or Distribution Engine. Teams that want buyers to book a meeting straight from the form look at Chili Piper or Default.
Most “best lead routing software” lists are written by a vendor that puts itself first. We do not sell routing software, and our CRM work runs inside whichever CRM a client already has, so this guide starts from the rules you need and works back to the tool.
Why does lead routing matter so much?
Because inbound leads go cold in hours, not days. In a study published in Harvard Business Review, researchers audited 2,241 US companies by submitting a test lead to each. Only 37% responded within an hour, 23% never responded at all, and the average response time among those that replied within 30 days was 42 hours. A separate analysis of 1.25 million leads in the same article found that firms contacting a lead within an hour were nearly seven times as likely to qualify it as firms that waited even one hour longer.
The research is from 2011, and buyers have not become more patient since. Slow responses usually come from routing, not lazy sellers: the lead lands in a shared queue, matches no rule, or goes to someone on vacation.
Do you need a separate routing tool at all?
Check what your CRM already does before you buy anything.
HubSpot. Workflows include an action that rotates records between owners. According to HubSpot’s documentation, rotating leads requires a Sales Hub Professional or Enterprise subscription, offers round robin, load balanced and random distribution, and only assigns to users with paid sales or service seats. Sales Hub Professional is $90 per seat per month billed annually, plus a one-time $1,500 onboarding fee. If you already pay for Professional, simple rotation costs nothing extra.
Salesforce. Salesforce has built-in assignment rules and Flow, which handle basic routing. Teams usually outgrow them when they need to match a new lead to an existing account, balance capacity across a team, or show why a lead went where it did.
A separate tool earns its cost when you need one of four things: lead-to-account matching, booking a meeting the moment a form is submitted, territory rules that change often, or an audit trail of every routing decision.
How do the main lead routing tools compare?
Prices below were read on each vendor’s own pricing page in October 2026.
| Tool | CRM | Strongest at | Published price |
|---|---|---|---|
| HubSpot (built in) | HubSpot | Simple rotation inside workflows | Included in Sales Hub Professional, $90 per seat per month billed annually, plus $1,500 onboarding |
| Chili Piper Routing & Scheduling | Salesforce and HubSpot | Routing a form fill and booking the meeting in the same step | $1,250 a month with 15 seats, then $45 per seat per month ($15,000 a year) |
| Default Growth | Salesforce and HubSpot | Routing, scheduling and enrichment in one platform, with logs of which rule decided | $12,000 a year, plus $540 per user per year for routing and scheduling seats |
| LeanData | Salesforce | Complex lead-to-account matching and routing | Not published. Standard, Advanced and Premium editions, quote on request |
| Distribution Engine (formerly NC Squared) | Salesforce | Per-user routing with availability and shift rules | $20, $35 or $55 per user per month, billed annually |
Chili Piper also sells an Experiences plan from $3,500 a month with 30 seats, and Default an Enterprise plan at $25,000 a year. Both add features that a team routing a few hundred leads a month rarely needs.
What would routing cost a ten-seller team?
Here is one year for ten sellers, using only the published prices above.
| Option | Year one cost for 10 sellers | Notes |
|---|---|---|
| HubSpot Sales Hub Professional | $0 extra if you already pay for it; otherwise 10 x $90 x 12 + $1,500 = $12,300 | Rotation only, no instant booking |
| Distribution Engine Advanced | 10 x $35 x 12 = $4,200 | Plus your Salesforce licenses |
| Chili Piper Routing & Scheduling | $15,000 | 15 seats included |
| Default Growth | $12,000 + 10 x $540 = $17,400 | Includes 24,000 enrichment credits |
| LeanData | Quote | Ask for the price at your seat count in writing |
The gap between the cheapest and most expensive option is wide enough that the decision should come from the rules you need, not from a feature grid.
How do you choose the right lead routing tool?
Write your routing rules on one page before you take a single demo. Every vendor can route leads. The question is whether it can run your rules without a workaround.
- List what you route. Inbound leads only, or also contacts, accounts, meeting requests and hand-offs from SDRs to account executives?
- Write the rules in order. For example: existing customer goes to the account manager; open opportunity goes to the deal owner; target account goes to its named rep; everything else goes round robin by region.
- Decide what happens when the rule fails. The rep is out of office, the territory has no owner, the lead matches two accounts. Unrouted leads are where response time goes to 42 hours.
- Decide whether buyers book instantly. If you want a demo request to end on a calendar page, you need Chili Piper, Default or a similar scheduler. If a seller calls back, rotation in your CRM may be enough.
- Price the tool at month twelve. Count the seats you will have after hiring, not today’s.
An illustrative routing setup
Illustrative, not a benchmark. The company is fictional.
Halcyon Ledger sells accounting automation to mid-market finance teams, runs HubSpot Sales Hub Professional, and has six account executives in two regions. Its rules fit on four lines: customers go to their account manager, open deals go to the deal owner, target accounts go to the named rep, and everything else rotates round robin within the region. A HubSpot workflow handles all four, and a second workflow alerts the sales manager in Slack when a lead sits untouched for an hour.
The team was about to buy a routing platform to fix slow follow-up. The real problem was a fifth case nobody had written down: leads from countries outside both regions matched no rule and sat in a shared queue. One extra branch fixed it, at no extra cost.
What should you fix before you buy routing software?
A routing tool only runs the rules and data you give it. Three things break routing more often than the software does:
- Duplicate and orphaned records. If the same company exists three times in the CRM, account matching sends the lead to the wrong owner. Clean the data first; our data hygiene guide covers the routine.
- Territories that live in someone’s head. If the rules are not written down, nobody can check them when a lead goes missing.
- No alert for untouched leads. Routing gets the lead to a person. Something still has to notice when that person does not respond.
Our CRM and routing service covers this upkeep: duplicates merged and fields filled every week, routing kept current as territories and products change, and broken forms or syncs fixed within one business day. For the response itself, our inbound lead follow-up service researches and scores each lead and sends it to the right seller with a reply drafted, at any hour. For the definitions behind the models in this guide, see our glossary entry on lead routing.
Frequently asked
What is lead routing software?
Lead routing software assigns each new lead, contact or meeting request to the right seller automatically, using rules such as territory, account owner, company size or round robin. Many tools also match the lead to an existing account and book the meeting on the seller's calendar.
Do I need lead routing software if I use HubSpot?
Not always. HubSpot's workflows can rotate records between owners, with round robin, load balanced and random options for leads, on a Sales Hub Professional or Enterprise subscription. Users must have paid sales or service seats. A separate tool earns its cost when you need account matching, instant booking from forms, or complex territory rules.
How much does lead routing software cost?
Published prices checked in October 2026 range from $20 per user per month (Distribution Engine Starter, billed annually) to $15,000 a year for Chili Piper's Routing and Scheduling plan with 15 seats, and $12,000 a year plus $540 per routing seat for Default's Growth plan. LeanData does not publish prices.
What is the best lead routing software for Salesforce?
LeanData is the long-standing choice for complex Salesforce routing with lead-to-account matching. Distribution Engine is a Salesforce-native option with published per-user prices. Chili Piper and Default add instant meeting booking from forms. Start with the rules you need, then pick the cheapest tool that runs them.
How fast should inbound leads be routed?
Within minutes. A study of 2,241 US companies published in Harvard Business Review found that firms contacting a lead within an hour were nearly seven times as likely to qualify it as those that waited even one hour longer. The same audit found an average response time of 42 hours.
What is round robin lead routing?
Round robin hands leads to sellers in a fixed rotation so each gets an equal share. It is the simplest rule and works for small teams with similar territories. Most teams add rules on top, such as sending leads from existing accounts to the account owner first.
