Outbound sales is selling where the seller starts the conversation. The seller chooses companies that fit the ideal customer profile, finds the right people inside them and reaches out by email, phone, LinkedIn or at events to book a first meeting. In inbound sales the buyer makes the first move. Most B2B SaaS companies run both.
The question that matters is when outbound earns its cost. It takes more work per meeting than answering a demo request that walks in the door, but it is the only motion where you decide which companies you talk to. This guide covers how outbound differs from inbound, how the process runs, who does it, what it costs, what to measure and the rules that apply.
How is outbound sales different from inbound sales?
| Outbound sales | Inbound sales | |
|---|---|---|
| Who starts the conversation | The seller | The buyer (form, trial, chat, call) |
| Who you talk to | Accounts you chose | Whoever finds you |
| Buyer’s intent at first contact | Unknown, often not looking yet | Already researching or ready to talk |
| Main skill | Research and a relevant reason to reach out | Speed and qualification |
| Main risk | Annoying people who never asked, damaging your sending domain | Slow follow-up, leads going cold |
| Typical role | BDR, or SDR on outbound | SDR on inbound, or the account executive |
| What it needs to work | A tight target list and a reason to talk now | Marketing that creates demand |
The two motions fail in different ways, so they need different people and different measures. Our BDR vs SDR guide covers how teams split the roles, and our glossary entries on outbound marketing and inbound marketing cover the marketing side of each.
Is outbound sales just cold calling?
No. Cold calling is one channel. Most B2B outbound mixes several. In a RAIN Group Center for Sales Research study of 488 B2B buyers and 489 sellers, 82% of buyers said they accept meetings with sellers who proactively reach out to them. Asked how their most recent accepted meeting began, 58% said email and 54% said phone. The same study found 52% of sellers needed five to ten touches to first connect with a new prospect.
| Channel | Best used for | Watch out for |
|---|---|---|
| Reaching many contacts with a specific reason to talk | Deliverability, opt-out rules | |
| Phone | Senior buyers and fast conversations | Connect rates and calling rules |
| Warming up a contact before or between emails | Connection limits, generic messages | |
| Events | Meeting target accounts in person | Cost per meeting, follow-up after the event |
| Direct mail | Breaking through to a short list of high-value accounts | Cost, remote workers |
How does the outbound sales process work?
- Define who you sell to. Study your closed-won deals: company size, industry, tech stack and the moment they bought. That becomes the ideal customer profile.
- Build the account list. Pull companies that match, then score them. A data tool helps here.
- Find a reason to reach out now. A new hire, a funding round, a job post that names the problem you solve, a product launch. Outbound without a trigger is a guess.
- Write and send a sequence. Several touches across email, phone and LinkedIn over two to three weeks. Our guide to cold email follow-ups covers spacing and what each step should add.
- Route replies fast. Interested replies go to a seller the same day, with the research attached.
- Qualify the first meeting. Use a framework such as MEDDIC to decide whether the deal is real.
- Review every week. Which triggers, messages and accounts got replies? Change next week’s list accordingly.
Who does outbound sales?
| Role | What they do in outbound |
|---|---|
| BDR or outbound SDR | Researches accounts, runs sequences, books first meetings |
| Account executive | Runs discovery and closes; in smaller teams also prospects |
| Founder | Often the first outbound seller before the first sales hire |
| Sales or RevOps | Builds lists, keeps the CRM and sequencing tools clean |
| AI agents | Research accounts and draft messages for a person to review |
A human outbound team is a real cost. The Bridge Group’s 2025 SDR report, based on 351 B2B companies, puts median on-target earnings at $80,000, with an average ramp of 3.0 months, an average tenure of 1.9 years and 60% of reps at quota. Software now handles much of the research and drafting.
What should you measure in outbound sales?
| Metric | Formula | What it tells you |
|---|---|---|
| Reply rate | Replies / contacts reached | Whether the message and the reason to reach out land |
| Positive reply rate | Interested replies / contacts reached | Whether you are reaching the right people |
| Meetings booked | Count per week, per seller | Output of the motion |
| Meeting-to-opportunity rate | Qualified opportunities / meetings held | Whether meetings are with real buyers |
| Pipeline created | Value of opportunities sourced by outbound | What the motion is worth |
| Spam complaint rate | Complaints / emails delivered | Whether you are putting your domain at risk |
For context on reply rates, Instantly’s Cold Email Benchmark Report 2026 found an average reply rate of 3.43% across campaigns on its platform in 2025. That is one vendor’s customer base, so treat it as a rough reference, and compare yourself mostly against your own last quarter.
What rules apply to outbound sales?
In the US, cold email falls under CAN-SPAM. The FTC’s guide says the law makes no exception for business-to-business email, requires an accurate sender, a non-deceptive subject line, a postal address and a working opt-out, and sets penalties of up to $53,088 for each violating email. Opt-outs must be honored within 10 business days.
Inbox providers add their own rules. Google requires anyone sending 5,000 or more messages a day to Gmail accounts to set up SPF, DKIM and DMARC, offer one-click unsubscribe, and keep the spam rate below 0.3%. Calling and texting have separate rules, and outreach to people in other countries brings in local privacy law, so check with counsel before you expand.
What makes an outbound sales strategy work?
- A short list beats a long one. A few hundred accounts you understand are easier to write for, and easier to learn from, than thousands you do not.
- Every message needs a reason for now. The trigger is what separates outbound from spam.
- Speed after the reply. A positive reply that waits a day goes cold.
- One owner for the list and the CRM. Outbound breaks when customers and open deals get cold emails.
- Weekly review. The motion improves only if someone reads the replies and changes the next batch.
An outbound week, start to finish
Illustrative, not a benchmark. The company is fictional.
Quarry Health sells scheduling software to physical therapy groups with 10 to 50 clinics. On Monday, its seller pulls 60 groups that opened new clinics in the last quarter. On Tuesday, she finds the operations director at each and writes an email that names the new clinic. On Wednesday, she connects on LinkedIn with the directors who opened the email. On Thursday, three reply: two interested, one “talk to our COO.” On Friday, she books two meetings, sends the COO a note that mentions the referral, and drops the trigger that got no replies from next week’s list.
Where Growigami fits
We run outbound for B2B SaaS companies through our ABM and outbound service. Each week we research your target accounts and find why each one would talk now, write a message for each contact by email and LinkedIn, review the drafts before anything is sent, and route interested replies to your sellers the same day.
Frequently asked
What is outbound sales in simple terms?
Outbound sales is when the seller starts the conversation. The seller picks companies that fit, finds the right people and contacts them by email, phone, LinkedIn or at events to book a first meeting. In inbound sales, the buyer makes the first move, for example by filling in a demo form.
Is outbound sales the same as cold calling?
No. Cold calling is one outbound channel. Most B2B outbound today combines email, phone and LinkedIn. In a RAIN Group study of 488 buyers, 58% said their most recent accepted meeting with a seller started with email and 54% said it started with a phone call.
What is an outbound sales job?
Usually a sales development representative (SDR) or business development representative (BDR) role, focused on booking first meetings for account executives. The Bridge Group's 2025 report puts median on-target earnings for these roles at $80,000, about $55,000 base and $25,000 variable.
What is an example of outbound sales?
A payroll software company sees that a 400-person company has posted a job for a payroll manager. A seller emails the head of finance about the problem that hire is meant to fix, follows up with a short example from a similar company, and calls two days later to book a 20-minute meeting.
Is inbound or outbound better for B2B SaaS?
Most B2B SaaS companies need both. Inbound brings buyers who are already looking but you cannot choose which companies arrive. Outbound lets you pick the accounts you want but costs more effort per meeting. Early-stage companies with little brand awareness often lean on outbound first.
How many touches does outbound take to get a meeting?
Several. In the same RAIN Group study, 52% of sellers said it takes five to ten touches to first connect with a new prospect. That is why outbound runs as a sequence across channels, not as a single email or call.
