Case Study Template

A free B2B case study template with seven sections, a SaaS example, interview questions, an approval checklist and a Word file to download. No signup.

Free, no signup Updated November 2, 2026

A case study template gives you the sections a B2B customer story needs, in the order a prospect reads them: a headline with the result, an at-a-glance box, the customer's problem, why they chose you, how they rolled it out, the results with sources, a quote and one call to action. Copy it below in one click, or download the Word version, which adds a planning sheet, ten interview questions and an approval checklist. No signup.

Most case study templates that rank on Google are layouts: slide designs, Canva pages or UI portfolio pieces. They decide where the logo goes and leave the hard parts blank: which story to tell, which numbers you can prove, and who has to approve them. This template is built for a B2B seller's job, which is answering a prospect who asks "has anyone like us done this?" If you need the basics first, our entry on what a case study is covers the definition and why it persuades.

What sections does a B2B case study template need?

Top

Headline and at-a-glance box

The result with a number, then customer, challenge, product and three results in a box. Many readers stop here.

Section 1

The customer and the challenge

Who they are, what was broken and what it cost, in the champion's words.

Section 2

Why they chose you

The other options they weighed and the one reason that tipped it. Prospects comparing the same options read this closely.

Section 3

How they rolled it out

Who was involved and how long it took. It answers the question "how much work is this for us?"

Section 4

The results

Before, after, period and source for each metric. Only numbers the customer approved in writing.

Section 5

In their words

One named, titled quote a prospect in the same job would say.

Section 6

What's next

The next team or use case, which shows the relationship is current.

Section 7

Call to action

One next step for a reader with the same problem.

Copy the case study template

Paste it into a Google Doc, Notion page or Word file, or download the .docx, which opens with a planning sheet and ends with the interview questions and the approval checklist.

Why do B2B case studies need a "why they chose you" section?

Because a B2B purchase is decided by a group, and much of the group may never talk to your seller. Forrester's State of Business Buying 2026 found that a typical buying decision includes 13 internal stakeholders and nine external influencers, and its 2024 edition found that 89% of purchases involve two or more departments. A Gartner survey of 632 B2B buyers published in June 2025 found that 61% prefer a rep-free buying experience. The case study often travels without the seller, forwarded to a finance lead or an IT reviewer.

That reader wants to know three things the usual "challenge, solution, results" layout skips: what else the customer looked at, how hard the rollout was, and where the numbers come from. Sections 2, 3 and the source column in section 4 answer them.

Case studies are worth the effort. In the Content Marketing Institute's 2025 B2B research, a survey of 980 B2B marketers published in October 2024, 75% had used case studies or customer stories in the previous 12 months, and 53% said they produced the best results. E-books and white papers scored 45% on the same question. All figures in this section were re-checked on 2 November 2026.

What does a filled case study template look like?

Illustrative, not a benchmark. Both companies and every number are fictional.

Ledgerline sells accounts payable automation to mid-size companies. Its customer, Tidewater Supply, is a 400-person distributor. Here is the template filled in:

SectionLedgerline's draft
HeadlineHow Tidewater Supply closed its books four days faster without adding staff
At a glanceWholesale distributor, 400 employees. Challenge: 2,000 paper invoices a month keyed by hand. Results: close from 9 days to 5, late-payment fees down from $4,100 to $600 a quarter, two clerks moved to collections.
ChallengeThree AP clerks keyed every invoice into the ERP. Month-end close took nine working days, and the controller spent the last two chasing approvals by email.
Why they chose LedgerlineTidewater also looked at its ERP vendor's AP module and at hiring a fourth clerk. The deciding reason, in the controller's words: "It read our supplier invoices on day one without a template for each one."
RolloutSix weeks, with the controller and one IT admin. The first month ran in parallel with the old process.
ResultsClose time 9 to 5 days (Q1 to Q3, from the controller's close calendar). Late-payment fees $4,100 to $600 a quarter (finance ledger). Source named under each number.
Quote"I stopped spending the last two days of every month in my inbox." Dana Ruiz, Controller, Tidewater Supply
Call to actionSee how many days your close could lose: book a 20-minute AP review.

The headline carries the result, the second section names the alternatives a prospect is also weighing, and every number has a source. A seller can send the PDF to a controller who is comparing the same ERP module.

Which version of the case study should sellers send?

Write the story once, then cut it for each place it will be used.

VersionWhat to keepUsed for

How to write a case study with this template

  1. Fill in the planning sheet with sales. Pick the prospect the story is for and the objection it answers. That decides which customer you ask.
  2. Interview the champion for 30 minutes. The .docx has ten questions. Our guide to customer testimonial questions has 42, organized by phase.
  3. Ask where each number comes from while you are on the call. A number with no source gets cut in legal review.
  4. Write the draft yourself. Do not ask the customer to write anything. Fill the at-a-glance box first; if it is weak, the story is not ready.
  5. Run the approval checklist. Send one draft with every number and quote highlighted, and record the approval date.
  6. Publish the web version first, then cut the PDF, the slide and the email snippet from it.

Where the case study fits in your sales assets

A case study is the proof behind the claims in your other documents: the value proposition canvas lists what a buyer needs, and the case study shows a customer who got it. Our sales assets service writes case studies from interviews with your customers, with numbers they will stand behind, along with one-pagers, battlecards and decks for your sellers. Once it is live, put the result and the quote on your homepage too: the SaaS homepages in our free website templates gallery have a testimonials section ready for them.

Frequently asked

What should a B2B case study include?

A headline with the result, an at-a-glance box, the customer and their problem, why they chose you over the other options, how they rolled it out, the results with before and after numbers, one quote and a single call to action. The Word template on this page adds a planning sheet, interview questions and an approval checklist.

How do you write a case study for a customer?

Agree with sales on which prospect the story is for, interview the champion for 30 minutes, ask where each number comes from while you are on the call, write the draft yourself, then send it for approval. Our customer testimonial questions guide has the full interview question list.

Can ChatGPT create a case study?

It can turn an interview transcript into a first draft in the template's structure, which saves hours. It cannot supply the facts. Every number and quote has to come from the customer and be approved by them in writing, so check each one against the transcript and the customer's own report before the draft goes out.

How long should a B2B case study be?

Long enough to show the problem, the decision and the numbers, and no longer. We aim for 800 to 1,500 words on the web page, one page for the PDF a seller attaches, and one slide for the deck. The headline and the at-a-glance box should carry the result on their own.

Is there a case study template for Word?

Yes. The .docx on this page opens in Word, Google Docs and Pages. It has a planning sheet, the seven sections with grey guidance notes, a results table with a source column, ten interview questions and an approval checklist. No signup.

What if the customer will not let you use their name or numbers?

Offer three levels: named with numbers, named without numbers, or anonymous with the industry and company size. An anonymous story with real numbers still answers a prospect's question. Never round a number up or estimate one the customer has not approved.
