White Paper Template

A free B2B white paper template with ten sections, guidance for each one, a planning sheet and a Word file to download. No signup.

Free, no signup Updated October 28, 2026

A white paper template gives you the sections a B2B white paper needs, in the order a buyer reads them: executive summary, the problem, why the usual fixes fall short, the evidence, your recommended approach, how to start, results, a conclusion, an About section and sources. The template below copies in one click, and the Word version adds a planning sheet and guidance notes in every section. No signup.

Most white paper templates that rank on Google are design files: covers and layouts in Canva, Venngage or InDesign, with lorem ipsum where the argument should be. A good layout cannot save a paper with no evidence. This template is about what goes on each page. If you need the basics first, our entry on what a white paper is covers the types and how they differ from e-books and case studies.

What sections should a B2B white paper have?

Section 1

Executive summary

One paragraph with the problem, the evidence and the recommendation. Many readers stop here, so it must hold the whole argument.

Section 2

The problem

Who has it and what it costs them, with a sourced number in the first three sentences.

Section 3

Why the usual fixes fall short

Two or three common approaches, what each gets right, and where each stops working.

Section 4

The evidence

Your data, customer results or public research, with the method stated and one chart or table per claim.

Section 5

The recommended approach

Your way of solving the problem, as named steps. Your product stays out of this section.

Section 6

How to get started

What the reader can do in the next 30 days, and who owns each step.

Section 7

Results to expect

A short customer example with numbers the customer has approved.

Section 8

Conclusion and next step

The finding in one sentence, and a single call to action.

Section 9

About the company

Three or four sentences on who you are and what you offer for this problem.

Section 10

Sources and method

Every number, with its source and date, so readers and reporters can check it.

What format should a white paper use?

ElementRecommendationWhy
LengthMore than five pagesGrammarly's guide sets five pages as the floor; past that, the evidence decides
Orientation and filePortrait, exported as a PDFGrammarly's recommendation; a PDF keeps charts and layout intact when forwarded
VisualsOne chart or table for each main claim, each with a source lineReaders skim for the numbers; a source under each one lets them trust it
HeadingsState the point ("Most payroll errors start at onboarding"), not the topic ("Onboarding")A reader who skims only the headings still gets the argument
Web versionPublish the executive summary and key charts as a page, even if the PDF is gatedSearch engines and AI assistants can read and cite a page; they cannot read behind a form
ToneFormal, specific, third person; your company appears in the last two sectionsA paper that sells on every page reads as a brochure

Is a white paper still worth writing?

For about half of B2B marketers, yes. In the Content Marketing Institute's 2025 B2B research, a survey of 980 B2B marketers, 51% had used e-books or white papers in the previous 12 months, and 45% rated them among their most effective formats. Case studies scored higher, used by 75% and rated effective by 53%.

Buyers also do more of their research alone. A Gartner survey of 632 B2B buyers published in June 2025 found that 61% prefer a rep-free buying experience. A white paper is one of the few assets that can make your full argument when no seller is in the room, which is why the evidence section carries the paper.

What does a filled white paper template look like?

Illustrative, not a benchmark. The company and its numbers are fictional.

Pinecrest Billing sells usage-based billing software to SaaS companies with 50 to 500 employees. Its white paper is for finance leaders moving from seat-based to usage-based pricing. Here is how the template's first sections read once filled in:

SectionPinecrest's draft
TitleWhere Usage Billing Breaks: Invoice Disputes in the First Year of Usage-Based Pricing
Executive summarySaaS finance teams moving to usage-based pricing see more invoice disputes in the first year, and most come from three causes. Our review of anonymized dispute records from Pinecrest customers shows that unclear usage definitions, late meter data and missing spend alerts account for most of them. We recommend fixing all three before the first usage invoice goes out.
The problemA disputed invoice delays cash and pulls finance and customer success into the same thread. The paper opens with how many invoices were disputed and how long each took to resolve, with the date range of the data.
Why the usual fixes fall shortCredits after a dispute keep the customer but repeat every month. A longer contract clause defines usage, but customers do not read it until the invoice arrives.
The evidenceMethod paragraph, then one chart per cause: dispute share by cause, days to resolve, and disputes before and after spend alerts were switched on.
About PinecrestAppears only on the last page, with one link to a usage-billing readiness review.

The title names the finding, the summary holds the whole argument, and the product waits until the end. Sellers can attach the paper after a first call with a finance leader, and each chart becomes a LinkedIn post.

How to write a white paper with this template

  1. Fill in the planning sheet first. The .docx opens with it: reader, stage of the sale, the one problem, the main claim, the evidence you have, and whether you will gate it.
  2. Collect the evidence before you write a word. If you cannot find three findings with sources, the topic is a blog post.
  3. Write the executive summary next. If the argument does not fit in 150 words, it is not ready.
  4. Draft sections 2 to 6 in order. Delete the grey guidance as you go.
  5. Get every number checked against its source, and get approval for any customer you name.
  6. Design last, then export to PDF. Publish the summary and charts as a web page alongside it, so the paper can be found and cited.

Where a white paper fits in your content

One paper should feed a month of other work: a blog series, a webinar, LinkedIn posts from each chart and a one-pager for sellers. Our guide to SaaS content marketing covers how to plan that around a single asset. Our sales assets service writes and designs the documents sellers send, such as case studies, one-pagers, battlecards and decks, built from interviews with your customers and your recorded calls.

Frequently asked

How do you format a white paper?

Title page, executive summary, the problem, why the usual fixes fall short, the evidence, the recommended approach, how to get started, results to expect, a conclusion with one next step, an About section and a list of sources. Grammarly's guide recommends more than five pages, portrait orientation and a PDF, with charts, graphs or tables to carry the data.

Does Microsoft Word have a white paper template?

You can start from a blank Word document or one of its report layouts, but you would have to add the B2B sections yourself. The .docx on this page opens in Word, Google Docs and Pages, and has the ten sections, a planning sheet and guidance notes in each one. Write in it, then export to PDF.

How long should a white paper be?

More than five pages, the minimum Grammarly's guide recommends. Past that, length follows the evidence: each main claim needs a chart, table or example. Cut any section that repeats what buyers can read in a blog post.

What is the difference between a white paper and an e-book?

A white paper argues for one way to solve a problem, with evidence, in a formal tone. An e-book teaches a broader topic in a lighter, more visual format. In the Content Marketing Institute's 2025 B2B research, the two are counted together: 51% of B2B marketers used e-books or white papers in the previous year.

Should a white paper be gated?

Only if it holds something buyers cannot get elsewhere, such as original data. A PDF behind a form cannot rank in search or be cited by AI assistants. A common middle path is to publish the executive summary and key charts as an open web page and gate the full data set.

Who should write a B2B white paper?

A writer working with a subject expert. The expert supplies the evidence and the point of view; the writer structures it so a busy buyer can follow it. Plan for a review by someone who will check every number against its source, and by legal or compliance if you name customers or competitors.
