HubSpot sequences send a series of one-to-one emails from a seller’s own inbox and create call and task reminders, then stop when the contact replies or books a meeting. They need Sales Hub or Service Hub Professional or Enterprise and an assigned seat. A Professional seat can send up to 500 sequence emails a day.
Building one takes a few minutes in HubSpot. Most of the work is fitting it inside HubSpot’s limits and writing steps that each give the reader a new reason to reply. This guide covers both, using HubSpot’s knowledge base as read on October 25, 2026, and ends with three templates you can build step by step. For the multi-channel account-based version, with tiers and buying committees, see our guide to ABM outbound sequences.
What do you need to use HubSpot sequences?
| Requirement | What HubSpot’s documentation says |
|---|---|
| Subscription | Sales Hub or Service Hub, Professional or Enterprise (create sequences) |
| Seat | An assigned Sales or Service seat for every user who creates or sends sequences |
| Permissions | Edit permissions to create sequences; Sequences and Communicate permissions to enroll; Bulk enroll sequences to enroll many at once (enroll contacts) |
| Inbox | A connected personal work email address. A shared team address cannot send sequences |
| Sharing | The sequence must be shared with the user who sends it. New and cloned sequences default to “Only Me” |
| Workflow enrollment | Sales Hub or Service Hub Enterprise only |
On HubSpot’s sales pricing page in October 2026, Sales Hub Professional cost $90 per seat per month billed annually, plus a required one-time $1,500 onboarding fee. Starter does not include sequences. If sequences are the only Professional feature you need, our Pipedrive vs HubSpot comparison prices a cheaper route.
What are the HubSpot sequence limits?
| Limit | Value | Source |
|---|---|---|
| Sequence emails per user per day, Professional seat | 500 | Sales email send limits |
| Sequence emails per user per day, Enterprise seat | 1,000 | Same |
| How the daily limit is measured | Rolling 24 hours, not a calendar day | Same |
| Trial accounts | The daily limit does not increase | Same |
| Email provider limits HubSpot lists | Google Workspace 1,000 a day, Office 365 1,000, free Gmail 350 | Same |
| Contacts per bulk enrollment | 50 | Enroll contacts |
| Send rate during bulk enrollment | 3 emails per minute | Same |
| Sequences per contact | 1 at a time | Same |
| Sequences per account, Professional or Enterprise | 5,000 | HubSpot sales pricing page |
| Email templates per sequence | 10 (task reminders are unlimited) | Create sequences |
| Longest delay between steps | 90 business days | Same |
Two of these catch teams out. When an enrollment would push a user over the daily limit, HubSpot shows an error and asks for a different send date before it completes the enrollment. And a contact already in one sequence cannot be enrolled in another until you unenroll them, which matters when marketing and sales both run sequences.
How do you set up a sequence in HubSpot?
- Connect your inbox and check that your sending domain is authenticated. Sequences go out from your own address, so its reputation is what lands them.
- Create the sequence and add steps. The step types are automated email, manual email task, call task, general task, and, with the Sales Navigator integration, LinkedIn InMail and connection request tasks.
- Set delays in business days. Steps run on business days by default; you can switch that off to send at weekends.
- Set the send window. HubSpot picks a time inside your window based on past opens, in the time zone you choose when you enroll.
- Choose threading for each email. A step can start a new thread or reply in the thread of the previous email.
- Check the unenrollment triggers. By default a contact leaves the sequence when they reply or book a meeting. You can also unenroll everyone at the same company when one person replies.
- Share the sequence with every seller who will use it, then test it on yourself and a colleague before enrolling prospects.
All of these settings are in HubSpot’s create and edit sequences guide.
When does HubSpot unenroll a contact?
According to HubSpot’s unenrollment guide, a contact leaves the sequence when they:
- reply to any sequence email, if the reply trigger is on, including from a different email address
- book a meeting through a meetings link in a sequence email
- click the unsubscribe link
- bounce
- reach the end of the sequence
Contacts are also unenrolled if the sequence is deleted or if the user who created it is downgraded or removed. That last one matters when a seller leaves: downgrade their seat and every contact in their sequences stops.
Should you use a sequence or a workflow?
| Sequence | Workflow | |
|---|---|---|
| Sends from | The seller’s own inbox, as one-to-one email | Marketing email from HubSpot, or actions on records |
| Stops when | The contact replies, books a meeting, bounces or unsubscribes | The contact meets the workflow’s unenrollment criteria |
| Creates tasks | Yes: calls, manual emails, LinkedIn steps | Yes, as an action |
| Enrollment | By a user, one at a time or 50 at once; by a workflow on Enterprise | Automatic, from triggers |
| Use it for | Prospecting, inbound lead follow-up, re-engaging a lost deal | Nurture, lifecycle updates, owner rotation, internal alerts |
A simple rule: if a reply should go to a person, use a sequence. If no one expects a reply, use a workflow.
What would a team’s daily sending look like?
Illustrative, not a benchmark. The company is fictional.
Brightwell Analytics has four SDRs on Sales Hub Professional and Google Workspace. Each SDR enrolls 40 new contacts a day into a sequence with four automated emails.
| Item | Per SDR |
|---|---|
| New enrollments a day | 40 |
| Automated emails per contact | 4 |
| Emails a day once the sequence is full (40 x 4) | about 160 |
| HubSpot Professional limit | 500 |
| Google Workspace limit HubSpot lists | 1,000 |
| Time to send one bulk enrollment of 40 at 3 emails a minute | about 13 minutes |
Each SDR uses about a third of the HubSpot limit, so the team can grow enrollments before the limit matters. Replies set the pace first: at 160 emails a day per SDR, a reply rate of even a few percent produces several conversations a day that each need an answer within hours. Plan the SDRs’ time for replies before adding more enrollments.
Which HubSpot sequence templates work?
Three templates, built for HubSpot’s step types. Each stays well under the 10-email limit and gives every email a job. Replace the bracketed text with HubSpot personalization tokens or your own research.
Inbound lead follow-up sequence
For a contact who downloaded a guide or used a tool on your site. Start it the same day.
| Step | Day | Type | What it does |
|---|---|---|---|
| 1 | 0 | Automated email | Answers the question behind the download |
| 2 | 1 | Call task | Calls with the same question in mind |
| 3 | 3 | Automated email, same thread | Adds one specific example |
| 4 | 7 | Automated email, new thread | Offers a short call with a reason |
Subject: Your [guide name] question
Hi [first name], you downloaded our [guide name] this morning. Most people who grab it are trying to [problem the guide solves]. Is that what you’re working on at [company]?
If it helps, I can send the [one related resource] we use with teams your size. Just reply “yes”.
Step 3 (reply in thread): One example: [peer company type] cut [specific task] from [before] to [after] by [one change]. The part most teams skip is [step]. Happy to walk through how it would look at [company].
Step 4 (new thread), Subject: 15 minutes on [problem]?
Hi [first name], I’ll stop here. If [problem] is on your list this quarter, I can show you [specific thing] in 15 minutes. Here is my calendar: [meetings link].
Using a HubSpot meetings link means a booking unenrolls the contact automatically.
Outbound sequence for a new account
For a named contact at a target account, with a call and a LinkedIn step. Needs the Sales Navigator integration for the LinkedIn task.
| Step | Day | Type | What it does |
|---|---|---|---|
| 1 | 0 | Automated email | Opens with the trigger you found: a hire, a launch, a funding round |
| 2 | 2 | LinkedIn connection request task | No pitch, a short note |
| 3 | 4 | Automated email, same thread | Adds proof from a similar company |
| 4 | 6 | Call task | Calls, references the emails |
| 5 | 9 | Automated email, new thread | New angle: a risk or cost they may not have counted |
| 6 | 14 | Automated email, same thread | Short close, leaves the door open |
Subject: [Trigger] at [company]
Hi [first name], saw that [company] [trigger, e.g. hired its first RevOps lead]. Teams at that point usually hit [specific problem] within a quarter. We help [type of company] with [outcome]. Worth a short conversation?
Step 6: Hi [first name], last note from me. If [problem] becomes a priority, reply with “later” and I’ll check back next quarter.
Keep each email under 100 words and do not repeat the ask in the same words. Our guide to cold email follow-up covers how many follow-ups to send and what each should add.
Closed-lost re-engagement sequence
For deals lost on timing or budget, started 60 to 90 business days after the loss.
| Step | Day | Type | What it does |
|---|---|---|---|
| 1 | 0 | Manual email task | The seller writes a personal note, referencing the original conversation |
| 2 | 5 | Automated email, same thread | Shares what has changed since: a feature, a price, a customer like them |
| 3 | 10 | Call task | Calls the original champion |
Step 1 (manual): Hi [first name], when we spoke in [month], [company] decided to wait on [project] because of [reason they gave]. Has that changed? Either way, no pitch: I’d like to hear how you solved it.
Make step 1 a manual email task so the seller writes it, and complete it from the task queue or the contact record, so HubSpot threads it with the next step correctly.
What breaks HubSpot sequences?
- Unshared sequences. If the sequence is not shared with the sender, enrollment fails.
- Bounced or blank emails. Contacts without an email address, or who have bounced before, cannot be enrolled. Verify lists before you import them.
- Out-of-office confusion. HubSpot recognizes most automatic replies, but a Gmail out-of-office reply sent to an Outlook inbox unenrolls the contact.
- The daily limit on a trial. HubSpot says the sequence limit does not increase on a trial account, so plan a pilot’s volume around it.
- Seller departures. Removing or downgrading the user who created a sequence unenrolls its contacts. Before you remove a seat, export the list of contacts in that user’s sequences so another seller can pick them up.
Where Growigami fits
Our ABM and outbound service runs this work each week: we research your target accounts, write every message, and your seller reviews before anything is sent. Interested replies go to the right seller the same day, with the thread and the research attached. For the definition and the parts of a sequence outside HubSpot, see our glossary entry on the email sequence.
Frequently asked
Which HubSpot plan includes sequences?
Sequences are available with Sales Hub or Service Hub Professional or Enterprise, and each user needs an assigned Sales or Service seat, according to HubSpot's knowledge base in October 2026. On HubSpot's pricing page, Sales Hub Professional was $90 per seat per month billed annually, plus a one-time $1,500 onboarding fee. Free and Starter plans do not include sequences.
How many emails can you send with HubSpot sequences?
Up to 500 sequence emails per user per day with a Professional seat, and up to 1,000 with an Enterprise seat, measured over a rolling 24-hour period. The limit does not increase on a trial account. Your email provider's limit also applies: HubSpot lists 1,000 a day for Google Workspace and Office 365, and 350 for a free Gmail account.
What is the difference between a HubSpot sequence and a workflow?
A sequence sends one-to-one emails from a seller's own connected inbox and creates tasks, and stops when the contact replies or books a meeting. A workflow automates actions across records, such as marketing emails, property updates and owner rotation, based on triggers. Sales teams use sequences for prospecting and follow-up; marketing uses workflows for nurture.
How many contacts can you enroll in a HubSpot sequence at once?
Up to 50 contacts at a time, for users with the Bulk enroll sequences permission. HubSpot then sends at most three emails per minute, so a bulk enrollment of 50 takes about 17 minutes to send. Each contact can be in only one sequence at a time.
Can a workflow enroll contacts in a sequence?
Only on Sales Hub or Service Hub Enterprise. On Professional, a user enrolls contacts by hand, one at a time or in bulk of up to 50.
Do out-of-office replies unenroll contacts from a HubSpot sequence?
Most do not. HubSpot recognizes most automatic out-of-office replies and keeps the contact enrolled. The exception in its documentation: Gmail out-of-office replies sent to Outlook inboxes are not recognized, so those contacts are unenrolled as if they had replied.
